Bankful data migration & export policy

Bankful recognizes that merchants may need to access or move account data as their business needs change. This article explains how Bankful reviews data migration and export requests, including security, compatibility, timing, and potential fees.

This information does not amend or replace your Bankful Software Agreement, the pricing and fee schedule in your Merchant Dashboard, or other merchant-specific terms. If there is a conflict, those controlling terms apply.

Exporting data yourself?

Active merchants can generate and download available transaction and reporting data directly from the Merchant Dashboard at any time, at no charge.

A migration request is only necessary when the data you need falls outside what the Dashboard produces, or when the data is going to another system. Sections 3 through 5 cover those requests.

1. General Principles

  • Merchant access: Merchants can access available transaction and reporting information through the Merchant Dashboard while their account is active.
  • Security and compliance: Data migrations and exports must follow applicable security, privacy, card-network, and legal requirements.
  • Bankful review: Bankful reviews migration requests for requester authority, technical compatibility, security, operational feasibility, and third-party requirements before work begins.

2. Inbound Data Migration Into Bankful

Bankful will review the proposed data, source system, format, and intended use to determine whether the migration can be supported.

Only supported and appropriately secured data may be accepted. If a request is approved, Bankful will provide instructions for the transfer process.

Do not send payment card data through ordinary email or attach it directly to a support ticket.

Applicable migration terms are governed by your Bankful Software Agreement and the pricing and fee schedule in your Merchant Dashboard.

3. Outbound Data Migration From Bankful

Merchants may request an outbound migration by submitting a support ticket through the Merchant Dashboard.

Requests must come from a person authorized to act on the account. Bankful may require confirmation from the signer on the Bankful Software Agreement or a Dashboard administrator before beginning work.

The request should identify the merchant account, the Merchant Identification Number(s) (MID) involved, the general scope of the data, and the intended destination.

Bankful will review the request and confirm whether it can be supported, along with any requirements, estimated timing, and applicable fees.

Outbound migration fees may apply. Review the current Bankful Software Agreement for the current pricing and fee schedule applicable to your account.

Requests After Account Closure

An authorized account representative may request an export of available account data for up to 90 days after account closure. Requests must be submitted through Bankful Support and include the merchant account, applicable MID(s), requested data scope, and intended destination.

Bankful will review the request for authority, data availability, security, technical compatibility, applicable fees, and legal or regulatory requirements. Bankful may provide only data that remains available under its retention practices and may decline or limit a request where those requirements cannot be met.

After the applicable post-closure request period, Bankful is not required to retain or provide data unless required by applicable law or the controlling account terms.

4. Migration Between Systems

Requests that involve moving data to or from another system — including a processor of record, subscription platform, customer relationship management (CRM) system, or other service provider — are subject to Bankful’s review. Depending on the arrangement, Bankful may be the direct processor or may orchestrate routing to a third-party processor of record.

Approval may depend on technical compatibility, data security, regulatory requirements, third-party cooperation, and the potential effect on Bankful’s systems or services.

Bankful may decline, delay, or place conditions on a request when these requirements cannot be met.

5. Timing and Delivery

Migration timing varies based on the data involved, technical complexity, required approvals, third-party participation, and security or compliance review.

Bankful will acknowledge receipt of a complete request within 14 business days and aims to acknowledge requests sooner where practicable. After evaluating the request, Bankful will provide the applicable requirements, estimated timing, and fees, if any.

Approved data transfers must use a secure delivery method authorized by Bankful. The merchant may also be required to confirm receipt and responsibility for securely handling the transferred data.

6. Important Considerations

  • Third-party systems operate under their own agreements, privacy practices, security controls, and technical requirements.
  • Merchants are responsible for obtaining any customer permissions or other authority required for the requested transfer.
  • Legal, regulatory, security, retention, or technical requirements may limit which data can be transferred.
  • Data availability is subject to Bankful’s retention practices. Older data may no longer be available for export or migration.
